In Tally, a ledger is an account for a single item, such as Cash, a customer's name, Rent, or Sales. A group is the category that ledger belongs to, and it decides where the ledger shows up in your reports. Every ledger must be placed under a group. Groups vs ledgers, in plain words

Think of a group as a folder and a ledger as a file inside it. "Sundry Debtors" is a folder; each customer is a file inside it. "Indirect Expenses" is a folder; Rent, Salary and Electricity are files inside it.

Tally already gives you 28 pre-defined groups (like Sundry Debtors, Sundry Creditors, Fixed Assets, Direct Expenses, Indirect Expenses, Sales Accounts, Purchase Accounts). You rarely need to create new groups; you just place your ledgers under the correct existing one.

Step by step: create a ledger

  1. From Gateway of Tally, choose Create (or press Alt + G, type "Create Ledger").
  2. Select Ledger.
  3. Name — type the ledger name, e.g. "Rent".
  4. Under — choose the group, e.g. "Indirect Expenses".
  5. If it's a party (customer/supplier), fill in the address and, if GST applies, the GSTIN.
  6. Press Ctrl + A to save.

Worked example

You buy furniture worth ₹15,000 for the office. You need a "Furniture" ledger:

  • Name: Furniture
  • Under: Fixed Assets

Now when you record the purchase, the ₹15,000 correctly lands in Fixed Assets on your Balance Sheet, not in expenses. That's the whole point of choosing the right group.

Two ledgers Tally makes for you

When you create a company, Tally already creates Cash (under Cash-in-Hand) and Profit & Loss A/c. You don't need to make those; just add your own on top.

Pro tips

  • Name party ledgers exactly as on their invoices, so statements match.
  • For customers and suppliers, always use Sundry Debtors and Sundry Creditors respectively; this drives your outstanding reports.
  • Use multiple ledger creation (Chart of Accounts ▸ Ledgers) to add many at once when setting up.

Common mistakes

  • Wrong group. Putting Rent under Fixed Assets, or a customer under Sundry Creditors, makes reports wrong. Match the ledger to the table above.
  • Creating duplicate ledgers. One "Rent" ledger is enough; don't make "Rent Paid", "Office Rent", "Rent A/c" separately unless you truly need them split.
  • Skipping GSTIN on party ledgers. If GST applies, enter it now so invoices are correct.
